Last updated: 10/04/2025
At the Microchip Implanter Association (MiA), we are committed to maintaining high standards of professionalism, ethics, and conduct among our members. We take all complaints seriously and aim to handle them promptly, fairly, and in line with legal obligations.
Complaint Response Times
- Acknowledgement: All complaints will be acknowledged within 5 working days of receipt.
- Full Response: We aim to investigate and respond in full within 4 weeks.
- If additional time is required, we will keep you informed throughout the process.
Complaints Involving MiA Members
If the complaint involves a current MiA member, we will:
- Acknowledge receipt and open an internal investigation
- Refer the case to our Board of Ethics & Conduct
- Review relevant documentation, evidence, and input from all parties
- Determine whether the member has breached MiA’s Code of Ethics or membership obligations
Where appropriate, we may:
- Issue a formal warning or recommendation
- Suspend or remove membership status
- Offer training or guidance
If we believe that the issue involves potential legal or welfare violations, we will refer the matter to the relevant third parties, including but not limited to:
- DEFRA
- RSPCA
- Local authorities
- The Police
MiA fully cooperates with lawful investigations and enforcement bodies.
Complaints Involving Non-Members
If the complaint relates to an implanter who is not a member of MiA:
- We recommend you raise the issue directly with the implanter in the first instance.
- If no resolution is reached, you may submit the complaint to MiA.
- MiA will review the complaint and, where appropriate, refer the matter to DEFRA or the relevant enforcement agency.
MiA has no disciplinary authority over non-members, but we can assist in directing your complaint to the appropriate body.
Complaints Related to Database Operators
If your complaint concerns a microchip database or data record, this must be directed to the database operator responsible.
- MiA is not a database operator and does not hold or manage chip records.
- If you are dissatisfied with the outcome from the database operator, the next step would be to contact DEFRA, who regulate microchip database compliance.
Complaints from or on Behalf of Keepers
If you are a keeper of an animal and have concerns about how a chip was implanted or registered:
- Matters involving animal welfare or improper implantation may be referred to the RSPCA or Police, depending on the nature of the issue.
- You are welcome to notify MiA, and we will assist in referring you to the most appropriate authority and will act if a MiA member is involved.
How to Submit a Complaint
You can submit your complaint via:
Please include as much relevant information as possible, including:
